Summary in plain English
PromptMantra is a B2B SaaS tool. We collect the email and workspace name you give us to create your account, the prompts and brands you ask us to monitor, and the AI responses we capture on your behalf. We don't sell your data. We don't track you across the web. We don't share information with advertisers.

What we collect
Account information. Your name, email address, workspace name, and password (stored hashed). For SSO sign-ins, the unique identifier from your provider (Google, Microsoft).
Configuration data. The prompts you tell us to monitor, the brands and competitors you list, the engines you enable, your alert settings.
AI response data. The text and metadata returned by AI engines when we run scans on your behalf. We store this so you can review historical mentions and trends.
Billing information. Processed by Stripe; we never see your full card number. We retain billing email, last 4 digits, and invoice history.
Usage analytics. Anonymized product analytics (which features you use, scan frequency, error rates) so we can improve the product. No PII is sent to third-party analytics.
How we use it
To run the service. Querying AI engines on your schedule, storing results, generating dashboards, sending alerts and digests.
To support you. Replying to support emails, reaching out about account issues, notifying you of significant product changes.
To improve the product. Aggregated, anonymized usage patterns help us prioritize features. We never use your prompts or scan results to train AI models.
For billing. Charging your card via Stripe, sending invoices, handling refunds and plan changes.
What we don't do
- We don't sell your personal data to third parties.
- We don't share your prompt list, brand list, or scan results with anyone outside PromptMantra.
- We don't run third-party advertising trackers on this site.
- We don't use your data to train AI models — yours or anyone else's.
- We don't cross-reference your data with other PromptMantra customers' data.
Your rights
Whether or not you're in the EU/UK, you can:
- Access the data we hold about you (download from your account settings, or email us).
- Correct inaccurate data (most settings are user-editable in your dashboard).
- Delete your account and all associated data (one-click in account settings).
- Export your data in a machine-readable format (CSV/JSON).
- Object to processing — though note this often means the service can't function for your account.

How long we keep data
Account data: for as long as your account is active. Deleted within 30 days of account closure.
Scan history: retained for the duration of your subscription. After cancellation, retained for 30 days then permanently deleted.
Billing records: retained for 7 years per Indian tax law, regardless of account status.
Backups: Encrypted backups roll off after 35 days.
International transfers
PromptMantra is operated by Repute Infosystems, based in Pune, India. Customer data is processed in India and in AWS regions (US, EU). Transfers from the EU/UK are covered by Standard Contractual Clauses; see the GDPR page for detail.
Children
PromptMantra is a B2B product not intended for users under 16. We don't knowingly collect data from minors. If we learn we have, we delete it.
Changes to this policy
If we make material changes to this policy, we'll email everyone with an active account at least 30 days before the change takes effect. The “last updated” date at the top of this page always reflects the current version.
